Terms & Conditions are now available in Swedish and Norwegian on the Signature Portal.
With the new feature, we'll allow HR Admin to edit the name of any existing fields (standard & custom fields) as it is possible today for any new fields.
Also the fields can be set as required.

The improved page will be available in staging environment on February the 9th, then rolled out gradually between February and March.

Saving time on setting up dataset fields
When setting up a Dataset field in a form, an autocompletion is set up so that all matching datasets are proposed.
The Users can choose the dataset from a list that appears after typing in parts of the name. Thus, it is no longer necessary to type in the full name completely.
In July 2021, UKG HRSD People Assist released a whole new Knowledge Base interface in open beta
This new interface makes it simpler to manage articles and categories, particularly in an international context using multiple languages.
This feature is currently under controlled roll-out: The deployment for monolingual customers is done and deployment for multilingual customers will start in December.

Customers with 2 and more languages set up on their platform
To expect less impacts on activation and to fully benefit from the new Knowledge Base features, it is advised to migrate the articles and categories to the international model of this new application.
To do so, a migration tool is available in the interface, alongside a documentation to help you doing so. The documentation is available here.
This tool will be deployed in the February release.

Description
Searching on the categories list
Finding categories is simplified.
Users can now search by name and description of the desired category.
The categories in the administration are thus easier and quicker to locate. This is particularly helpful if there are many categories in the system.
Note: when using the search, categories’ reordering is not possible to avoid issues in the order’s rankings.
Filtering pinned articles
To make it easier to find articles that are pinned to the homepage of the Employee Portal in the administration interface, there is now a corresponding filter.
Here, the user can choose to display all articles that are shown once on the homepage of the Employee Portal as well as all articles that are permanently pinned to the homepage
Applying filters automatically
HR Admins are able to use several different filters on the articles' list in order to access articles with specific settings.
However, when modifying the different filters, HR Admins have to click on "Apply filters" at the end of the filters, which can be a loss of time and sometimes not even be visible.
Now, when a filter is applied or modified, the changes are automatically applied, and the results are updated accordingly.
Additional info on category’s deletion
To improve the deletion process, a message is displayed to the user when a category has related elements and can therefore not be deleted.
When trying to delete a category that has related elements, HR Admins could only see an error, without any further message. In most cases, the error appeared because the category had linked elements such as articles and/or request which prevented deletion.
Content within categories can be restricted to a certain group of HR Users depending on their roles.
However, sometimes a user has access to none of the content located inside a particular category. The category used to still be displayed which could mislead the user in its search.
Now, when HR Users can access none of the articles and forms within a specific category, this category will automatically be hidden on their interface, in order to ease their navigation.
This feature has been deployed on Staging and Production environment.

A user without the permission to send documents to the employee vault' was still able to do so.

In a distribution project, the PDF file containing all employee documents was sorted alphabetically by FIRST name, it is now sorted by LAST name.

When HR users were deactivated, they were still receiving mail notifications related to former processes they were attached to.

Even if all tasks have been completed so that the process itself is complete, some processes remained in error status and blocked all related triggers.

Display of hovered elements on the articles list
On the articles list interface of the new Knowledge Base, HR Admins can hover over some elements in order to have additional information about specific settings of an article.
Sometimes, the information was still displayed even after having hovered away.
This error is now fixed.

Hiding empty categories
The feature to hide empty categories on the employee portal was not working properly. This is now fixed and any category for which employees have access to no articles nor forms will be hidden for them.

Sending feedback as an employee
Sometimes, when sending feedback on an article as an employee, an error was displayed but the feedback was sent nonetheless.
This error has been fixed and now no error message is displayed in case the feedback is correctly sent.

Core Data Management
Custom field added after employees are created were not updated by import
When a custom field was added to the platform after an employee was created, it was not possible to define a value for this custom field for the previously created employee.
A value for this custom field could only be added to this employee by editing the employee profile in Doc Manager UI.
We have fixed this and now, when a new custom field is added to the platform, all employees can receive a value by import.

Authentication And Access Management
Terminated employees can be invited to the platform
From the employee profile, it was possible to send an invitation to the employee portal to employees that are terminated (registration reference with an inactive status and an end date defined).
We have fixed this and now the button is not accessible anymore for terminated employees. If by any chance the button is still displayed (interface not refreshed for example), an error message is displayed when trying to invite the employee.

Terminated employees can create an account
If an employee received an invitation to the portal but then left the company, he could still create an account by clicking on the invitation email.
Also, on the login page of the employee portal, the employee can also request for an invitation.
We have fixed these and now, if a terminated employee tries to create an account or request an invitation, it won’t be possible anymore.
